Key Roles & Responsibilities:

Project Operations:

  • Assist in the planning, scheduling, and monitoring of manufacturing projects from initiation to closure.
  • Track project milestones, deliverables, and timelines to ensure on-time execution across all production units.
  • Identify operational bottlenecks and escalate issues to the Project Manager with recommended solutions.
  • Maintain comprehensive project documentation including plans, progress logs, and closure reports.
  • Support implementation of process improvements and lean manufacturing initiatives on the shop floor.

Coordination:

  • Act as the primary point of contact between internal departments including production, procurement, quality, and logistics.
  • Coordinate with vendors, contractors, and external stakeholders to ensure timely delivery of materials and services.
  • Schedule and facilitate cross-functional meetings, prepare agendas, and maintain accurate minutes of meetings (MOM).
  • Ensure alignment between project goals and day-to-day operational activities across all teams.
  • Manage communication flow between the site team and the corporate office, ensuring accurate and timely information exchange.

Report Generation:

  • Prepare and distribute daily, weekly, and monthly project status reports to relevant stakeholders and management.
  • Compile and maintain MIS (Management Information System) reports tracking KPIs, resource utilization, and project health.
  • Generate variance analysis reports comparing planned vs. actual progress, costs, and timelines.
  • Maintain dashboards and trackers for real-time visibility into project performance across multiple work packages.
  • Ensure accuracy, consistency, and timely submission of all reports with zero discrepancies.

Invoicing & Collection Data Management:

  • Coordinate with the finance and accounts team to prepare, verify, and submit client invoices accurately and on schedule.
  • Maintain and update collection data records, tracking payment status and outstanding dues.
  • Follow up with clients and internal teams on pending payments and ensure timely resolution of billing discrepancies.
  • Support preparation of work completion certificates (WCC) and other documents required for billing purposes.
  • Reconcile project-related financial data and flag anomalies to the Project Manager and Finance team promptly.

Requirements & Qualifications:

  • Bachelor of Technology (B.Tech) in Mechanical Engineering from a recognized university — mandatory.
  • 0–3 years of experience in project coordination, operations, or a related manufacturing role (freshers with strong academics may apply).
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint); knowledge of project management tools such as MS Project or equivalent is a plus.
  • Strong analytical and problem-solving skills with a keen eye for detail and data accuracy.
  • Excellent verbal and written communication skills in English; knowledge of Hindi or regional language preferred.
